- Assist the client in a competitive bidding process for non-emergency services. Provide input in selection of contractors and in developing contract specifications.
- Obtain contractors’ relevant certificates of insurance.
- Direct contractors providing recurring services, and monitor performance.
- Perform regular site inspections in order to maintain a satisfactory knowledge of the condition of the property.
- Receive service requests for repairs or maintenance of property and report trends in service requests to client.
- Arrange for prompt and satisfactory response to emergency service requests.
- Advise client of major problems or trends in maintenance service requests as they occur.
- Handle any problem which may arise on a responsive individual basis. Our office hours are 8:30 a.m. to 5:00 p.m. Monday to Friday, with emergency service 24 hours per day, 7 days a week servicing of all Inquires and Complaints.
- Keep a detailed record of all communication
Accounting and Banking
- Coordinate getting bids, executing any agreements & contracts,
and issuing any purchase orders. - Paying invoices
- Custodial care of checking account.
- Track all debit and credit accounting entries
Budgeting
- Working with owner/association, create working budget for property.
- Generate a long-term plan for reserves and capital improvements.
Reporting and Record Retention
- Monthly detail on ledger entries.
- Monthly detail of income statement.
- Annual reporting, structured for tax reporting.
- Maintain all historical records and backup of automated systems

Rates charged for the management of association budgets vary depending upon the size of the association and the various common elements that require management. Typically, a flat monthly management fee is charged for the services required. Repair and maintenance items are normally billed at time & materials.
